Hosting an artist during the Pittenweem Arts Festival is a unique and rewarding way to participate. While the arrangement between you and the artist remains independent, we’re here to provide guidance and tips to help you prepare.

 

How Artists and Venues Come Together

If you have space available, let us know what it’s like. Include details such as the size of the space, location, and whether it’s indoors or outdoors. This helps us understand what types of artwork or media would work best in your venue.

Artist and venue registration is now open. We have a small stock of venues for rental, however, we anticipate a high demand for venues in 2025 and beyond, so the availability of locally hosted venues is very welcome. If an artist is unable to secure a PAF-managed venue, we maintain a list of artists interested in partnering with local venues and will connect you with them to discuss potential arrangements.

TOP TIPS FOR BECOMING A FESTIVAL VENUE

Clearly Define Your Available Space

  • Specify Areas: Make it clear what parts of your property are available to the artist - e.g., a garden, living room, or studio. If some areas are off-limits, communicate this upfront.
  • Preparation: Ensure the agreed space is clean, safe, and ready to showcase the artist’s work.

Access and Facilities

  • Facilities Use: Agree on whether the artist can use facilities such as a bathroom, kitchen, or storage space during the festival.
  • Keys and Hours: If you won’t be present, discuss how access to the venue will be managed.

Set-Up and Take-Down Logistics

  • Access Times: Artists typically need access to the venue the day before the festival starts to set up and the day after it ends for take-down. Make sure to align on these dates and times.
  • Support During Setup: Be available to answer questions or help troubleshoot issues during the setup period.

Safety and Insurance

  • Discuss insurance with the artist. Each venue must have public liability insurance in place so that you’re covered for any risks.
  • Fire Safety: Ensure fire exits are clearly marked and provide basic fire safety equipment.
  • General Safety: Remove any tripping hazards or other risks to visitors.

Collaborative Spirit

  • Communication: Foster a positive relationship with your artist by staying open and communicative.
  • Promotion: Encourage the artist to promote your venue on social media and through the festival's official channels. The artist may want to display promotion materials at your venue – such as a board or bunting.

Payment arrangements

  • Fee Agreements: Most venues charge a flat fee for the entire festival period rather than a commission-based agreement. Make sure the arrangement is clear upfront.
  • Determine Pricing: Set a rate based on the size, location, and accessibility of your space.

  • Independent Arrangements: The agreement between venue providers and artists is a private arrangement solely between the two parties. The festival does not participate in or oversee these arrangements.
  • Guidance Only: Any guidance, resources, or recommendations provided by the festival are intended as general information to assist venue hosts and artists. They are not legally binding and should not be considered as a substitute for independent advice.
  • Liability: The festival is not responsible or liable for any disputes, damages, injuries, or other issues that may arise from the artist-venue relationship or the use of private venues during the festival.
  • Encouraging Due Diligence: We strongly encourage both parties to discuss and agree on all terms in writing, and to seek independent advice (e.g., legal or insurance) where necessary to protect their interests.

By participating, you acknowledge and accept that the Pittenweem Arts Festival serves only as a facilitator of connections and information and is not liable for any loss or other outcomes resulting from these private arrangements.
